Elora and Dalen’s wedding weekend is one DreamGroup planner Alexa Gayton was excited about—and mentally building towards—for months. From the moment you arrived at Villa Vista Montagna, the private estate felt straight out of Tuscany: water features, sculptures tucked throughout the gardens, and a sun-washed villa backdrop that instantly made the whole experience feel transportive. What made this weekend even more satisfying was the three-day build. We watched the property evolve in real time: tent on Thursday, full install on Friday, and final polish plus last-mile details on Saturday. With a dream team in place — Elite Tents, Pedersen’s Rentals, Sheila’s Catering, and Sunrise Washrooms — we brought blank-slate logistics to life in a way that felt seamless for guests.
The Wedding Design Brief: “Italian Villa Garden Party”
The overall theme was clear from the start: Italian villa garden party—relaxed, romantic, and textured rather than overly polished.
We leaned into a palette that felt effortless and elevated:
- Sage greens and abundant greenery
- Natural linens and woven textures
- Crisp whites to keep the look airy
- Lemon accents for that fresh, coastal-Italy pop
- Candlelight to warm the tent as the sun dropped
Florals were intentionally garden-forward and a little wild, so nothing felt stiff or fussy. Jorbelina Flowers created that airy, organic movement we wanted, while Ellssi Events layered in décor details that were simple, elegant, and perfectly in tune with the estate—stoneware, clear glass, and woven textures that complemented the setting rather than competed with it.
If I had to sum up the look and feel in a few soundbites: Tuscan villa vibes, rustic elegance, lemon details, candlelit glow, effortless romance, and a transportive setting.
Blank-Slate Property Logistics: What It Really Takes
This estate was a true blank slate—no power, no water—which meant we brought in everything: the tent, generator, washrooms, full catering infrastructure, and a tightly coordinated installation schedule across multiple vendors.
Of course, remote builds come with moving pieces. The generator arrived a little later than planned on Friday, which meant no powered washrooms during vendor setup. Not ideal—but we adjusted, kept the team moving, and made sure everything was fully live and tested for Saturday (with Sunrise Washroom Trailers ready to go once power was on).
We also caught an important detail during the tent install: the roof panels were initially installed incorrectly as we needed alternating panels for shade. In true pro form Elite Tents returned Friday night to correct it—so the wedding day wasn’t impacted!
And then there was the bar build. The couple sourced fantastic bartenders from The Keg, but off-site bars are their own beast. With smart staging and clear timing, we built and stocked two full bars quickly and had service running on time.
Even with a full Friday install—tables set, lounges placed, bars staged—Saturday morning was still a sprint: stationery, final florals, last-mile styling, and thoughtful repurposing between zones. Clear roles, radios, and tight timing kept everything on track, and guests experienced only one thing: smooth transitions.

The Personal Touches That Made It Feel Like Them
One of the most meaningful elements of the day was the ceremony itself—officiated by the bride’s uncle. It grounded the entire celebration in family and warmth, and it set the tone for everything that followed: intentional, connected, and genuinely heartfelt.
Elora’s look was the perfect match for the relaxed romance of the design—thanks to Faye Smith Agency for hair and makeup—while Boss Limousines ensured transportation felt smooth and elevated from arrival to late-night exits. And because no Italian villa garden party is complete without a sweet ending, Cakes in a Box delivered a cake that felt perfectly on-theme for the day.
Tuscan Wedding Vibes at Villa Vista Montagna Reception Layout That Became the Star: The “Caterpillar” Dinner
One of our biggest creative swings—and the thing that truly made the reception unforgettable—was the dinner layout.
Instead of traditional rows or a predictable grid, we designed a “caterpillar-style” dinner: twenty round tables curved intentionally to follow the tent footprint, creating little nooks and conversational pockets along the way. The goal was to keep the room feeling connected and intimate—so guests could chat easily without the space feeling broken up.
Alexa’s favourite moments?
- The collective gasp when guests first walked into the reception tent
- Watching Elora and Dalen actually relax and enjoy every beat
- And a quieter win: seeing Elora’s mom—who is very detail-focused—genuinely happy with how it all came together
That’s when you know the design did its job: it didn’t just look beautiful, it felt right.
The Most Successful Part of the Day: Effortless Flow
For Alexa, the biggest success was the overall flow across three distinct spaces: Ceremony, Cocktails, & Reception.
We moved through transitions cleanly and intentionally—repurposing ceremony florals to the head table, floating signage where it made sense, and flipping furniture without it ever feeling scramble-y.
Once candles were lit and guests were seated, the reception room truly sang. That caterpillar layout delivered exactly what Elora and Dalen wanted: warm, intimate, and deeply connected. The spaces evolved as the night went on, but the energy never dipped—and from a guest perspective, the entire day felt effortless.
To match that energy, entertainment was layered beautifully: DJ Michael from About Town Entertainment kept the night moving, while Ruel Morales (via Musos Entertainment) brought live music moments that made the whole celebration feel elevated, personal, and joyfully “in the moment.”
What I Learned (And What I’ll Do Again Next Time)
Remote, blank-slate builds always teach you something—this one confirmed a few non-negotiables for future estate weddings:
- For non-traditional or client-sourced vendors (especially bars), expectations must be crystal clear: what an off-site build includes, who’s responsible for what, and exactly when they need to arrive.
- At properties like this, I’ll require a bar pre-set the day before.
- Vendor essentials at blank-slate sites—water, sun protection, sensible footwear, headlamps/flashlights for teardown—aren’t suggestions. They’re non-negotiables, and they need a reply-confirmed reminder the day before.
- Booking a nearby hotel the night before a big install is 100% worth it for energy, timing, and calm decision-making.
- And the most reassuring takeaway: even with infrastructure puzzles and a complex floor plan, good prep + calm flexibility goes a long way. Everything came together beautifully.
